How to Remove Hyperlink from Gmail

You may know how to hyperlink any text in Gmail but may struggle to remove the hyperlink. Here is how to do it.

Lets now remove the hyperlink from the below content

First click on the link that you want to remove

When you click you will see a small menu popping at the bottom of the link like below

Now click Remove to remove the hyperlink. OR Click Change to change the hyperlink

Once you do the removal you can see how it looks

Windows 7 comes with an inbuilt screenshot tool, this is one of the best tool for everyday use. Here is how it works and some tricks.

First open the snipping tool by clicking windows button or icon.

Then type Snipping

You will see the program like below

Click the Snipping tool to open it

When the snipping tool opens, you will see that it is ready for taking screen shots.

Using Mouse just drag and select the area you want to take a screen shot of and release the mouse button.

Once you take the screen shot, a new window will display like below with the screenshot

Now, you can directly paste the screen capture in any pastable window or email compose box, using the shortcut keys “Ctrl + V”

If you want to make any edit or highlight the screenshot just use the tools

You can use the pen tool to write or round something to highlight it. You can use the highlighter pen to highlight the content.

Once you done with your editing, Click the copy icon to copy the newly edited screenshot and paste it anywhere you want it.

You can also save this screenshot as an image file for attachment or to save it in file.

You can also choose the pen color of the snipping tool

There is a default border to your screenshots, you can remove it, or change color by going to tools menu, then Options

Snipping tool allows you to take windows screenshot or Rectangular Screenshots, or even Free form screen shots

Just before you take the screenshot choose the option

So finally, you have what you wanted for a quick screen capture and this utility is a great addition to Windows 7 and I think this will be continued and developed in future versions.

I really prefer this Snipping Tool to have the better highlight options like “Paint” or basic features of “Snagit”

The new interface of Gmail and many other Google product may irritate you with its dull look. In fact most of the options have changed. I use Google Apps for my company email account. But suddenly I was wondering where the “Manage This Domain” link has gone. After some time I found the link and wanted to share with you.

After login to Gmail, Google Apps account, On the right click the gear icon. You will be immediately taken to the admin page in a new tab.

If you are a Google Adsense user, it is better to write your content in English. By doing so, you will gain more audience than local user. But If your site is mainly focused on local market where Google does not support the language, it is better not to use Adsense on that site.

Gmail automatically makes users to switch to new Google interface. But people like me are not comfortable with the new dull look of Gmail. Its kind of pain for the eyes.

If you are like me you can revert to old Gmail, Classic look easily

1. On the right side of your Gmail page click the gear icon

2. Then click Revert to “Old look temporarily”

3. Gmail will display a message asking you why you want to switch to Old look. You can tell them why if you wish to OR switch back simply

4.Now your old Gmail will load again and you can enjoy it.

5. If you again want to switch to New Look, you can click the link at the right bottom of the screen

Airtel displays tariff that does not exist

I have been using Airtel for years. I use 1MBPS connection where I get 2MBPS till 30GB then get 1 MBPS. And I pay 1600 for that

I checked their tariff couple of months ago and found the new package highlighted below.

The fun part is they do not have that package at all. The rate is 2500 for 2MBPS and 75 GB limit.

I called up Airtel guys and asked for this plan and that guy was like,…. what…. no sir…. we do not have any plans. And I told him that I see it on your website. He said, “I do not know about that” then again I asked him to check, he said he does not have access

So I asked him to take the message and report it to the authority. Few months have gone and I still see this.

Airtel being a Big company cannot even display the tariff right.

I also do not like the design, it is so confusing. Hope they will fix these issues soon.

I have written a letter to NGC director about the very bad dubbing on most of their prime time programs.

Dear Director of Tamil NGC,

It is great to know that you have a Tamil channel to reach several millions of audience.

At the same time, it is really not tolerable to watch some idiotic dubbing voice.

For example,

Dog Whisperer – one of the great prime time programs that I love to watch along with all my family members. They love it too.. But You keep changing the voice for Cesar, it does not give us a good feel to watch. We do not get comfortable watching it. It takes time for us to adjust to a new tone.

Next worst thing is about the females dubbing staff that you have… It is totally annoying. How can a grown female give a voice for a child. It is better to leave it as it is than giving a fake voice and irritating the viewers.

We make fun of your programs everyday in office. In fact one of my friend has started to imitate this whenever he gets mad

You are simply making your audience go away from viewing your channel.

Please please please… Get rid of this situation and keep a good Dubbing artists. If you want to give a child’s voice you can use Karaoke feature which is available in most of the PCs with Realtek Sound Card. It is so simple. You can change a female voice to males voice or to child’s voice.

Gmail contacts are stored automatically when you send an email to somebody, it also stores contacts or emails addresses that are typed wrongly by mistake.

You can easily delete the Gmail contacts that you do not want anymore.

Go to the contacts page by clicking on the Contacts link on the left side of your Gmail

Search and find the contact that you want to delete

Choose the contact and click the Delete contact button

You will find the Delete option under More actions tab. Once you delete the contact you will get a confirmation as below

Using the method above you can delete any Gmail contacts or email addresses in your address book.

You can restore accidently deleted Gmail Contacts from Gmail.

You can undo any deletion or any merging or any activity by 30 days. you can customize the days and hours too as seen in the below image.

Click contacts on the left side. And on top of the contacts list click More Actions

You will find the below “Restore Contacts” option popping up

Choose the required time frame and click restore.

Once you Click Restore, you will find the result in yellow color on top with an undo option.

This way you can restore accidently deleted Gmail contacts very easily.

Firefox add on search sucks the most

There are 1000s of add-on’s written to work with the popular web browser Firefox. But when I want to search for a specific add-on it is hard to find.

You can easily find the popular ones but what I search for is not popular. I don’t understand under what term Firefox searches. When I search the add-on’s for Thunderbird it shows Firefox add-on’s.

I am so sick of this non sense search. Unfortunately, I am a great fan of Firefox.

If you are a developer make sure to change this simple bug, that will make the users satisfied and use more useful add-on’s. In fact I feel much better to search Google for Firefox add on’s rather than searching it on Firefox website.

Skype Unlimited Calls to US and Canada

Many Skype Users know that they can make any number of calls in a day with the very low fee of $12 for 3 months. It was such a good plan and many Indian companies and international people have opted for this option to do business with US and Canadian companies.

Recently Skype has put a limitation for this. So the unlimited had changed to limited calling now, but again they market the service saying unlimited calling.

The saturation point is 50 calls a day or maximum of 6 hours per day which cannot be called as unlimited. Now they say it is a fair usage policy.

Skype 4.0 New interface

Skype has changed to a new interface which might be tough for some people to understand quickly. Here, I will explain you the similarity and how to easily get use to the new interface.

You might get something like the below image in middle of your screen. Skype used to get launched on the right side of the window. Now you will have to move it to the right side. As I have mentioned in the below image, click on the little icon on the top which will split the display window and the regular contact window separate. Then move Skype to your right side. You will have to do this only once and Skype remembers this setting and will give you this look always.

You can add a special note to your viewers including smiley’s and any URL. If you have a long list of contacts then search in the search contact box.

Gmail has introduced a new search feature which is really cool. I have posted many Advanced search tips earlier. this adds to the same list again.

Here is the screen shot showing this feature.

Click the Show options link and you will see a menu opening in the left side

Once when you see this menu choose the parameters to get the refined result as you wanted. You will also see a new link button appearing at the end of this menu called “Reset options” when you choose any of the other options. Just click on that link to reset any filters.

I use outlook in everyday of my life. I sometimes� get the error message when I click �Send and Receive�. Outlook also gives the error code, I used the code and searched the net and I found no solution to it.

Finally, I found the problem not with anything but with the Email Service Provider. I use Yahoo Small Business account for my business email. And Yahoo sucks.

I switched the Internet service provider (ISP) but there was no use
I switched my computer no use
I completely uninstalled and installed outlook but no use

I tested IMAP and POP with Google account, it worked fine so far I never had an issue.

So, if you think your internet is up and running but Outlook is not working, it is 98% possible that your mail service provider has some problem. If you face this problem simply close your outlook and reopen it. As soon as you open go to the Outbox folder and delete the Unsent item. Then go to the �Deleted Items� folder and open the same email item and send again. It works sometimes, but not always. It is worth a try. You cannot delete the outbox item normally, you can only do it after you reopen your outlook, you have to be very quick to delete it.

If the problem persists, please wait. I had to wait for few days to get this matter resolved automatically. This step is only applicable if you were using Outlook successfully and suddenly if it is not working.

I have several Skype ID and all are important that required me to keep myself signed in. I used my laptop and desktop to sign in to 2 Skype accounts. Later I did a search and found some tweaks but did not work well for me.

Finally, I found a free software that works pretty well where we can have multiple Skype instances accounts logged in to the same computer.

This is Called Skype Launcher

Download Skype Launcher free software here

You just need to download this software and keep it anywhere in your PC at a safe location and do the following
Uncompress the folder and you will see the below files

Open the Readme file and read the instruction
Open the Skypelauncher_Config.exe file
You will see the below screen

Click Add

Enter the user ID and password of the first Skype Account
Click OK
Again Click Add and enter the second account, you can repeat this action for the number of Skype account you want to run
Then Click Save
Now Run the SkypeLauncher.exe

You will see the above screen opening and Leave it for few seconds and this will open multiple Skype instances and automatically those accounts will be logged in
You need to make sure you have not selected the �Sign me in When Skype Starts�

You do not need to configure the Skype Launcher every time you want to open Skype, You just need to do it once
There is not installation required also just delete the whole Skypelauncher folder to uninstall

You might know a John working in your company and a John who is your client. This may lead to an issue where you sometime send a wrong message to your client.

To prevent this, you can give custom names to your contacts.

For example,

John Internal and John Client or Client John or John Consultmirror
This way you know to differentiate between 2 contacts

You can rename the Skype contacts by following the methods below

Login to Skype
Click on any contacts

Right click on the contact view and you will get a menu as seen below

Click �Rename�
This will give you the editing option on the existing name as seen below

Change the name that you want to and click outside of this editing box
Your changes will be saved
I found this method to be very useful in organizing the contacts

You can keep funny names also, your contacts will not know that you have changed the name. Have Fun.

When you use Google Search, your search keyword will be automatically saved in to your browser. So when you do a search and if you want to clear the search history you need to adjust your browser settings.

Firefox

Open Firefox and click Tools menu

Click Options and you will see the options window

At the bottom of the window under Private Data Choose your preference for deleting the browsing history.
If you choose �Always�� the search history will be deleted whenever you close Firefox
If you choose �Ask�� you need to manually delete the Private data
You need to do the Settings first, so click setting to get the below window

Choose which item to be deleted in the list
To clear search item click �Saved Form and Search History�, then click OK
Now if you want to clear the search history Go to Tools menu and you will see �Clear Private Data� option

You will get the �Clear Private Data� window and choose which one to delete

Internet Explorer (7)

Go to Tools and you will see the below menu
Click �Delete Browsing History�

This will display the below window to choose the option

Choose �Delete Forms� and all the search history will be deleted

Google Toolbar

Click the arrow icon next to the search bar as shown below

You will see the �Clear Search History� Click on the link
All the Toolbar search history will be deleted

This post explains you where you can find the options for Yahoo mail classic. Some of you might use the new version of Yahoo mail.

You can switch back to classic mail for faster access. If you have a high speed connection then you can choose the new Yahoo mail which looks like Outlook or Outlook Express.

By editing the Yahoo mail options, you will be able to set up filters that will send the emails directly to a folder.

You will be able to set up a signature for all your outgoing emails

There is also 2 more save option available at the top right corner of the page as seen below

You can click on the Save button to save the Google Document and continue to work

When you use Microsoft Excel, You will sometimes find that the numbers are not calculated properly. This is mainly because of the cell format.

Excel accepts Text and the Number input, it has the great capability to interpret between two. All the Excel cells are in General format, when you start working on any Excel sheet It automatically allots the format to each cell based on the characters inside.

If you see any cells containing the numbers but are aligned left side, you need to understand that the cell format is in Text mode. Whenever you see the numbers in any cells arranged in right side, The cell format is in Number.

The calculation only works if you have the cell in numbers format

You can change the format from Text to Number by following the method below

Click on any empty cell and right click

Choose cell formatting

You will see a menu opening as seen below

Under the Number Tab, Click number as shown in the image

Choose the decimal you want to have, make it �0� if you do not want any decimal

Click OK to save

Now type �1� in the cell that you have changed the format, Press enter

Then copy the cell

Now select all the cells that you want to be changed to Number formatting

Then right click and choose Paste Special

Excel will give you Paste special Options as seen below

Choose Multiply

Then click OK, Do not change any other values

Now you will see all the selected cell formatting changed to Numbers and Excel automatically aligns the numbers to the right side

Now your calculation should work

Sometimes you will see Microsoft excel sheet adds the decimal points with all the numbers that you enter. You can remove that from happening.

If you want the Excel to automatically enter the decimal points check the Fixed Decimal option, also you can choose how many decimal points that you want to have
If you want to remove the automatic decimal points, un check the Fixed decimal points
Click Ok to save the settings
Now any number you enter you will see the changes

This is applicable to Microsoft Office 2003, Excel 2003 and Excel 2007.

You can hide the vertical scroll bar or the horizontal scroll bar in any excel work book.
Go to Tools menu
Click Options

The options window opens as seen above
Just uncheck the Horizontal scroll bar to hide the Horizontal scroll bar. Check or uncheck the Vertical scroll bar to hide or unhide
You can also hide the sheets tab by unchecking the Sheets tabs check box
and click OK, you will see the changes in your excel
You can make this default in all the excel workbooks that you open by editing the template file

You can insert Custom Headers and Custom Footers in any Microsoft Excel worksheet, so when you print, you will automatically see the custom header or footer in all the pages that you print.

Open the Excel sheet that you want to have the date and time header or footer
Go to View menu
Click Header and Footer
You will see the Page setup window opening
Click the Custom Header if you want the date and Time to be set on top of every page
Click the Customer Footer, if you want the date and time to be set on bottom of every page

I am going to set this on header
When you click on custom header, you will see one more option window opening. You have 3 areas to set up the date and time. Click left empty pane if you want to set the date and time on left. Click center or right to set it accordingly.

Click the Date Icon to insert the Date
Click the time icon to insert the Time
And click OK to exit this menu
Now lets see the print preview

So now I have the Date and Time on every page I print from this MS Excel Sheet. You need to do this on every excel sheet that you want to have this set up.
If you want to set it by default on all the excel that you create, you need to edit the excel template
If you want to delete this Header and Footer
Go to View, click Header and Footer
Click Custom Header or Custom Footer
Delete the Characters inside the right or center or left side of the option window
Click ok

Microsoft Excel worksheets has name for each cells. They start from A1.

These are used to calculate values and for reference purposes. Having these numbers in a complex formula will be a pain. If you know these number in words it will be very easy to do the calculations.

So Go to the first cell A1

Just above that A1 cell, you have the cell reference box.

Type the name you want, I am typing First as a reference to cell A1. It means that there is no more A1 cell in the worksheet because we changed it to First.

And enter 3 inside the cell

Now move to any other cell and change the cell name/label to Last

Enter 2 in the cell

Now move to another cell and enter this simple formula

=First+Last

You will see the result 5

Before this formula to work, you need to change the options to accept these labels

Go to Tools menu and click Options

Under the calculations tab, Check the �Accept Labels in Formulas�

And click OK.

You can hide the excel gridlines by doing the following
Open Microsoft Excel sheet that you want to hide the gridlines

You can hide any Microsoft excel workbook or sheets.
To hide a work book open the work book
Click Window menu
Click hide

The current workbook will be hidden from the view
When you close the MS Excel, If you have not saved the excel work book earlier, you will be prompted for the ms excel to be saved
You can find the Ms excel in the same folder but when you open you will not see any content
If you want to unhide a work book, open the MS excel and go to Windows menu and click Unhide

Ms Excel will ask you which one of the hidden files that you want to open
Choose the file that you want to open

Microsoft excel gridline are the ones that are around the cell in Grey color. By default excel has the grey color as the cell gridline border color.

You can change the Excel gridline color of a MS excel sheet by following the methods below.

Open MS Excel
Go to Tool
Click Options
You will see the small options windows opening as seen below

At the bottom of the excel options window you will see Window Options
You will also se Gridlines color
Choose the color that you want and click OK

Now you will see the MS excel gridline colors change to the new one that you have selected

Remember this is only applicable to one sheet that you select, if you want this gridline color change in all the Excel sheet in a work book, Group them before changing the color. To group all the sheet, hold shift key and click the first sheet then the last sheet.

To ungroup, right click on any excel sheet tab and select Ungroup

If you want this gridline color to affect all the excel workbook, you need to change the template.

This is applicable to MS Excel 2003 and Excel 2007.

MS office Tips – Add files to favorites for easy access

Open the file that you want to add in to your Favorite list

If you have made any changes to the file after opening, you need to save it.

Go to View menu

Click Toolbars and select Web

You will see the toolbars as seen below

Click the Favorites button and save the file

Now when you open the Internet Explorer or Excel with the Web toolbar enabled, you can easily access the file.

Click open in the MS office program like MS excel or MS Word or any other Ms office programs.

Navigate and locate the file that you want to open

Click the arrow next to the open button

You will see the list of menu as seen below

Click open as copy

Ms office will automatically create a copy of the file and will open the file that you need as a copy.

This will create a copy of the file in the same folder.

You can also Open files in read only mode by clicking Open Read-Only

Gmail contacts are best way to organize all your contacts and contacts in one place, You can use Gmail contacts as an address book.

If you have lots of email addresses and if you are looking for specific contact or specific email address, you can do a simple search to find the Gmail contact.

Gmail offers easy export option for all the contact in your Gmail contacts.

Click Contacts on the left side of the page

You will get a new screen with Gmail contact Export option on the right side

Click on the Export link

You will see the Export options

Gmail contacts offers a feature where you can export your contacts by group. So choose the group that you want to export

Choose the format that you want to export

Google format helps you to upload the CSV file to another Gmail ID

Outlook format helps you to upload the CSV file to widely used email services like Yahoo, Hotmail etc�

Gmail Contacts will get exported and ask you for the file location to save the exported Gmail contacts.

You can use the uploaded file to copy the contacts to another email programs.

Gmail offers a great contact management tools to easily add and manage many contacts.

If you want to add any new contacts

On the left side of the Gmail page, you will see the link Contacts

Click the Contacts link

Gmail will open the contacts page

On the left corner of the page content you will see the button to add a new contact as seen below

Click the icon

You will get the new form for adding a new contact

You can� add more than 1 email address more than 1 Phone number more than 1 address and more than 1 IM id to a sigle contact.

So you can use Gmail Contacts as a phone books or contact organizer.

This way you can only add one contact to Gmail.

If you want to import bulk contacts to Gmail contacts you can do that by following the methods below

You need to have the CSV file ready with contacts. If you want to transfer contacts from Yahoo or transfer contacts from Outlook or copy contacts from Yahoo, Hotmail, AOL or any email, you need to import the CSV file from the emails and have it ready for uploading it in Gmail.

Click Import on the top right corner of the content page

You will see the screen as seen below with import options

Click the choose File button and select the contact CSV file

Then click the Gmail contact group that you want all the contacts to be saved

Then click Import

All your contacts in the CSV file will be loaded within few seconds

Gmail offers a great search feature similar to Google search which is very easy to use.

If you are looking for an email received or sent on a specific date range follow the steps below.

In the Gmail search box type before:2008/11/01

This Gmail search will bring all the emails sent and received before 1st November 2008.

In the Gmail search box type After:2008/11/01

This Gmail search brings all the emails sent and received after 1st November 2008.

Note: You need to use yyyy/mm/dd format for inputting the date (year/month/date)

You can use this Gmail advanced search key along with other Gmail advanced search operators.

Eg:

After:2008/11/01 From:David � This Gmail Search will bring all the emails from David and are after 1st November 2008

You can do Gmail search for email sent to an address after or before specific date.

You can do Gmail search inside labels and folders and after or before a specific date and also more search like the above one.

If you are looking for emails that are CC to a specific person, you can follow the steps below.

This search will bring all the email where David is in CC

If you Type BCC:David

This search will bring all the emails where David is in BCC

If your name is in BCC field, you cannot get those messages by this search, Gmail BCC search is only applicable to the emails that you have sent to.

But Gmail CC search is applicable to all the emails including yours.

If you want to easily find all the unread or all the read emails or the emails that are starred follow the steps below.

Type is:starred for all the starred messages

is:unread for all the unread emails

is:read for all the read emails

You can use these keywords along with other keywords and you can search inside read or unread or starred messages.

If you are looking for an email from David and if you know it is inside a starred messages, type is:starred from:David this Gmail search will bring all the emails from David but only the starred messages.

You can use many advanced operator with this search like follows.

Label:David is:Starred � this finds all the emails in the label David and are starred.

is:starred label:David � this finds all the emails starred and with the label David.

To:David is:starred � this search finds all the emails sent to David and are Starred.

is:unread label:David � this search find all the emails in the Label David and are unread.

I can extend this list to many search type but you can do the search and see for yourself.

This operators only searches inside a specific folders instead of all emails in your Gmail.

Gmail offers a great search feature similar to Google search, it is very easy.

If you are looking for any emails that contains Social Gathering, you can do the simple search by typing Social Gathering in the search box. But Gmail will bring the emails with the word social and gathering anywhere in the email this will be very broad search.

If you type the search with in the quotes as shown below you will get the results exactly matching Social Gathering.

Type �Social Gathering�

You can also do this search along with other keywords,

for example subject:�Social Gathering�

This will bring all the emails with the subject line Social Gathering

So the quotes around any phrases means the exact phrase without splitting them. Try this search and you will see the difference yourself.

You can also do this search by going into Gmail search options as shown below

If you want to exclude emails with the specific word and which is inside a Label, Type Label:Family Subject:Meeting -November

If you are not comfortable with operators like this, you can choose the advanced search option and type the search that you want to do.

Gmail offers the search feature similar to Google search.

When you do the search, you can exclude unwanted messages by adding the hyphen as shown below.

If you are searching for any email with the word meeting but not the word November, type in the search box as meeting �November

You need to add the hyphen and the word that you don�t want to see in your search result and remember not to put the space after the hyphen.

You can do advanced searches using this operator. And also you can only eliminate 1 word off from your search, if you want to eliminate more than 1 word, Gmail does not search properly.

If you want to filter out more than 1 word do the search as shown below.

This Gmail search will bring all the emails with the word meeting and without the word November and December.

Gmail Tips and Tricks – Delete Gmail Chat History

Gmail offers a feature where one can chat from Gmail Inbox.

Gmail stores the chat history in a folder inside Gmail. You can disable this feature or if you want to delete the chat history, you can delete it by the following method.

Login to Gmail.
On the left side of the screen you will see the Chat menu below Starred menu. I do not mean the chat window.

Click the Chat button
You will see the list of chat history in this folder and all the chat history is stored in Email format
When you open any conversation, you will see the date, time and the name of the person you chat with
If you want to delete any chat history, choose the message that you want to delete and click more action
Gmail bring bunch of option and choose Delete as seen below

The selected chat history will be deleted
You can also delete the chat history from the message view as described below
On right side of the message you will see Reply and an arrow next to it
Click the arrow to get a drop down menu
Select Delete this message

Selected chat message will be deleted
All the deleted chat history is stored in Trash, so do not forget to delete the messages forever from trash folder

I have applied the theme so the view and color in your Gmail may differ.

I accidentally happen to check one of my Gmail ID found this feature. And this feature is not available in other Gmail IDs and I am not sure why.

There are more than 25 themes available with Gmail.

I am still not sure why it is not available in all my Gmail IDs.

Gmail offers a feature called Archive where one can move the unwanted emails and use it for feature. This is a great Gmail feature, instead of deleting a message, you can archive it and the email will move from your Inbox.

The emails moved to Archive are not visible in your Inbox or under any label. Gmail introduced a feature called All Mail, where you can view all the messages from your Inbox and Labels and from Archive.

Gmail counts the storage space used in Archive folder. When you do a search Gmail brings the files in Archive folder then you can decide to move to Inbox or label it.

So when you send an email to Archive, you can create a Label called Archives, this way when you click Archive Label, you can view all the emails in Archive folder.

Updated:

Go to settings and click labels. you will find option SHOW / HIDE.
Click ALL MAIL to show.
Now you can see all the emails.

Note: You cannot create a Label called Archive but create Archives, and assign the label before you Archive.

Deleting messages in Gmail is very easy.

But when you want to delete 1 message in a conversation, you may end up deleting the whole conversation.

You cannot delete a single message in a conversation from the Inbox view.

You need to open the conversation and select the message that you want to delete and click on right top of the message box where you see a small down arrow.

Gmail will display a list of options and choose �Delete this message�.

Now, only the selected message is deleted and the rest of the conversation is not deleted.

All the deleted messages will be stored in Trash folder, and all the messages in Trash folder will automatically be deleted in 30 days.

If you want to delete the messages from Trash folder, Open the trash folder and select the messages you want to delete and choose delete forever on top.

If you want to delete all the messages in your Trash folder click Empty Trash now, this will delete all the messages in your trash folder.

Gmail offers around 7 GB as on 20th November 2008. And they have the storage increasing everyday by few KB.

I guess it will take another year to add 1 more GB.

But for any email user 7Gb is really great. Gmail does not restrict the number of email Ids that you create, so you can forward your old emails to another Gmail ID and archive it. And do not forget to delete the forwarded messages in your Gmail.

When you run out of Gmail Storage Space, all your email will stay in Gmail server for few days. You will also get a notification on your alternate email ID that you have provided to Gmail. If you do not delete and empty some space for new messages, Gmail will send the emails back to the sender.

You can see your Gmail space usage at the bottom of the Gmail page after you login. These letters will become red when you reach near the maximum limit.

Gmail also calculates the message size in your spam folder and messages in your Trash folder. So make sure to delete Spam folder and empty the trash folder.

Gmail also counts your attachment size when calculating the storage space.

So the best option would be, to create one more Gmail ID and forwarding your old emails.

When you create a filter you can add this in any field of Gmail Filter options
You can add this in From filed with 2 different email addresses (you cannot use AND which is not possible)
You can use OR or AND in Has the word field
This will narrow down your filter

You can also use advanced operators like quotation marks around your filter terms

Eg., �Meeting reminder�

Use it inside quote and you will not get the alert for Meeting or for reminder but for Meeting Reminder

You can also use hyphen to neglect a word (-)

Eg., �Meeting

When you enter this term, you will not filter emails with the word meeting

You can use all these with the combination of all fields and terms in it.

Gmail Labels	Folders
You can apply any number of Labels to 1 single message	1 email can be sent to only one folder or you can only copy emails to multiple folder
Gmail uses conversation and one label can track all the conversation	NA
A conversation can have email from Sent or Draft or Inbox or Archive. Label can pull all that when you click on it	You will have to remember where every related message is
You have the option of searching the conversation by Label	This may not be the same with Folders
You can add more labels later	You have to copy the emails to more folders
You can delete or remove the label applied to an email by one click	You cannot do it easily

So these are only the theory of the difference between Labels and Folders. If you start using Gmail labels you will see more differences.

My opinion is Labels are the best.

Gmail�s greatest strength is its filter options. This is far more better than any other email service providers like Yahoo and MSN.

You can create UNLIMITED number of Gmail filters
But when you create a forward filter you cannot create more than 20 forward filters

What is forward filter?

When you create a filter that sets few emails to be forwarded to a specific ID, these filters are called forward filters and Gmail only allows 20 forward filters

What if you want to add more forward filters?

You can use the combining forward filter options

If you want to forward 2 different senders to a same email ID, you can combine them, the steps are given below

Login to Gmail
Click create new filter menu which appears next to search button on top

You will get the filter options as seen below
In the From field of the options, enter the sender�s email addresses that you want to forward to any address
For example, If you want blogpostdemo@gmail.com and blogpostdemo+test@gmail.com to be forwarded to another ID, enter� blogpostdemo@gmail.com and blogpostdemo+test@gmail.com in the from filed as shown below
You should enter the email addresses in a bracket or parenthesis () and you should mention OR between both the email addresses
(blogpostdemo@gmail.com OR blogpostdemo+test@gmail.com)

You can enter more than 2 email addresses in the From field
Click Next step
Choose the Forward button

Enter the email ID that you want to forward emails to
And Click Create Filter to create a new filter
So this way you can combine 2 or more filters into 1
This is applicable to all the fields, you can mention OR and create filters to combine two filters

Attach or forward the email that has the PPT file and view it as slideshow
When you open the slideshow you will see the new window with the options as shown below

Click on the arrow on top of the page to move to the next slide
Right top corner you have number of slide and you can choose which on you want to view

If you want to know the size of any messages in Gmail as seen in any other email services, you may not be able to get it.

Gmail does not offer this feature and it seems like there are not working on it too.

You can see the attachment size but not the message size.

More often we never want to see the size of the message but we all worried only about the attachment size.

If you want to send inline images you may have to worry about your message size which you cannot see.

Gmail offers great feature of viewing attachment.

Our traditional mailing system always ask us to download the attachment. Gmail has changed that completely.

To view Gmail attachments

Open the message that contains the attachment

At the bottom of the message you will see the attachment with many options as shown below

You can download all the Gmail attachments at once by clicking Download all attachments
When you click that you will get all attachment in a zipped format
If you want to download each attachment separately, click Download next to every attachment
This will only download the specific attachment

Apart from downloading you can view all Gmail attachments without downloading

You can view only the following attachments
.pdf, .doc, .xls, .ppt, .rtf, .sxw, .sxc, .sxi, .sdw, .sdc, .sdd, and .wml
This means that your attachment will be converted into HTML and the HTML attachment will open in a new browser
So you cannot view the zip file as HTML

This saves lot of time downloading and organizing your files

When you receive an attachment in Microsoft Excel (xls) format or Comma separated value (CSV) format, you can view those documents with Google spreadsheet and make any changes that you want to.

When you receive an Gmail attachment with Microsoft Document (Doc) format, you can view those documents with Google Documents. You can edit the changes that you want to.

Gmail will store this document in your Gmail account under Google document or Google spreadsheet.

Gmail offers easy attachment feature that is very powerful.

When you attach any files, Gmail uploads the files as you compose, unlike yahoo mail you do not need to wait for the attachment page to complete the uploading.

Gmail also restricts few file types just to avoid virus issues.

These includes executable files like .exe. You cannot send these files through Gmail, even if you compress these files into the following format these files are not allowed to send.

.exe with compressed formats like .zip, .tar, .tgz, .taz, .z, .gz

If these files are sent, your email will bounce.

But there is also a way to send a .exe file by compressing it using WinRar. This WinRar application can be found free of cost.

You have 20MB mail attachment option in Gmail.

Gmail does not offer a feature to completely block the senders. You can only spam the message or you can only delete the messages.

You can set filters to do this action.

If you want any emails to be deleted in feature, create a filter to delete the messages automatically

To create a delete filter,

Copy the senders address that you want to automatically delete

Select �Create Filter� appearing next to the Search button

Enter the senders email address

Click Next Step

Choose Delete

Then click Create filter

So messages coming from now from the address what you specified will automatically be sent to Trash

You can also choose from the Inbox view and set the filter

Open your Inbox

Choose the message that you want to delete automatically

Then click more action

You will see a drop down menu with many options

Click Filter Messages like this

Gmail automatically opens the filter option with the email address, so you do not need to copy and paste

You need to follow the other steps of setting the filters like choose delete and create filter

Gmail Tips and Tricks – Knowing if the message sent to you only or Group

Using Gmail you can find if a message is sent to you only or to a group of people.

To say this more clearly, if a message is sent to you and your address is the only address in the �To� field. There might be other people included in the same email but in CC or BCC field.

Gmail offers a feature� called Personal Level Indicator. You need to enable this feature by following the methods below.

Login to you Gmail account
On top right corner you will see the �Settings� link and click
This will open a General tab with loaded option
Middle of the this page just below the Signature option you will find the Personal Level Indicator option
Choose Show indicators as shown below
Now save the changes that you made at the bottom
Go to your Inbox
You will see the messages with the small arrow indicating this feature

If you see a double arrow >> this means that the message is sent to you and also to many others
If you see a single arrow > this means that the message is only sent to you
This should help you prioritize your email reading in Gmail

Gmail offers chat feature inside your mail window.

If you see your contacts online, and if you want to chat online you can use Gmail chat option displaying on the left side of the screen.

Also, if you has received an email from your contact and if you want to discuss about the same topic you can choose �Reply by Chat�

This feature helps you save the message and the chat conversation in a same group, so you don’t need to search for the message related to your chat or related to email.

Make sure your contact is online

Open the message

At the bottom of the message you will see the option �Reply by Chat to ��

Click the link �Reply by Chat to ��

You will see the chat window pop-up opening at the bottom of your screen

And you can start chatting with your contact. This will save the email and the chat history in your chat history.

Gmail Tips and Tricks – Gmail time settings/Choosing time zone

Wondering why the messages you receive or send shows a different time than the one on your computer shows or you clock shows?

It is because you have not set the Time zone in your personal settings in Gmail.

You can do this by simple following methods

Go to https://www.google.com/accounts/ManageAccount?service=mail

Click the edit button next to Personal Information

You will get a page where you can edit your Gmail name address and Time zone etc�

Click �Display all timezones�

Click the Time zone drop down and choose the Time zone you want in your Gmail messages

And do not forget to save the changes

You can also add other information if you want to change.

How to �reply to all� �Forward all� �Print all� �Delete Message� in Gmail?

Gmail offers multiple methods for doing the above.

If you want to delete the message in Inbox view, Select the messages in you want to delete and click the button �Delete�

When you select a conversation and Delete the message, all the emails n the conversation will be deleted.

So do not delete the entire message if you want to delete a separate message. The following steps will explain how to delete a single message in a conversation.

Click the message that you want to view and click on the small arrow appearing on the right top corner of the message view next to �Reply�

You will see the below options.

So if you want to reply to all the email addresses in the specific message click �Reply All�

If you want to forward the specific message click �Forward�

If you want to create a filter for the type of message that you are viewing currently, click �Filter messages like this�

If you want to Print only the selected message excluding all the messages in the conversation, click �Print�

If you want to delete only the selected message that you are viewing currently in a conversation, click �Delete this message�

�Report Phishing� rarely used. If you want to complaint any messages as Phishing, you can click �Report phishing�

If you want to see the original message of the conversation, click �Show Original�

If your messages are not in good format or not readable click �Message text Garbled� this will open a new window with the message and display the massage in plain text.

All the above steps are applicable to separate messages, it does not affect the conversation in Gmail.

If you are a new user to Gmail, you may be confused with this feature that Google offers.

What is conversation view?

When you send an email from your Gmail, and if you get a reply to your message with the same subject line, both the messages are arranged in single email view as seen below

You will see the Message sender and the replier and the number of messages

Whoever started the conversation, will appear first and the last replier will appear next

When you click the message, you will get the� message view as seen below

You will see the Subject on top in Bold letters, next the old messages as hidden and the new messages are the open readable and open now

You can view the Old message by clicking on the Old message subject

There is also an option of Expand or Collapse all the messages as seen below

When the messages are displayed together, click �Expand all�

When all the messages are displayed, click �Collapse all�

You can also click �Forward all� to forward all the message in the current conversation to any email address

Gmail conversations are best but it is still facing some issues, like not related messages are in the conversation. Gmail basically uses the subject line to arrange the conversation, so if any one sends you a message with the same subject line it is organized in the same conversation.
