How to Delete Gmail Contacts – Updated

~~Gmail contacts are stored automatically when you send an email to somebody, it also stores contacts or emails addresses that are typed wrongly by mistake.~~

~~You can easily delete the Gmail contacts that you do not want anymore.~~

Go to the contacts page by clicking on the Contacts link on the left side of your Gmail

Search and find the contact that you want to delete

You will see the delete option as seen below

Choose the contact and click the Delete contact button

Gmail will give you a final confirmation message to delete the contact, click yes to delete the contact

Using the method above you can delete any Gmail contacts or email addresses in your address book.

Gmail offers a contact management system that acts as a great online address book.

Gmail address book is very easy to use and very well organized automatically. you will not have too many windows opening like Yahoo, instead everything happens in a same window.

Open the Gmail contacts page by clicking on the Contacts link on the left.

If you have 50 Gmail contacts or more do a simple Gmail contact search by the known name and add to a group easily

Once you have many groups, you can send emails to all Gmail contacts in one click.

Even is you don�t have any groups but want to send email to 2 contacts select the 2 contacts and click the email button as seen below.

You can view the emails sent and received by the selected Gmail contacts.

Gmail offers easy export option for all the contact in your Gmail contacts.

Click Contacts on the left side of the page

You will get a new screen with Gmail contact Export option on the right side

Click on the Export link

You will see the Export options

Gmail contacts offers a feature where you can export your contacts by group. So choose the group that you want to export

Choose the format that you want to export

Google format helps you to upload the CSV file to another Gmail ID

Outlook format helps you to upload the CSV file to widely used email services like Yahoo, Hotmail etc�

Gmail Contacts will get exported and ask you for the file location to save the exported Gmail contacts.

You can use the uploaded file to copy the contacts to another email programs.

Gmail offers a great contact management tools to easily add and manage many contacts.

If you want to add any new contacts

On the left side of the Gmail page, you will see the link Contacts

Click the Contacts link

Gmail will open the contacts page

On the left corner of the page content you will see the button to add a new contact as seen below

Click the icon

You will get the new form for adding a new contact

You can� add more than 1 email address more than 1 Phone number more than 1 address and more than 1 IM id to a sigle contact.

So you can use Gmail Contacts as a phone books or contact organizer.

This way you can only add one contact to Gmail.

If you want to import bulk contacts to Gmail contacts you can do that by following the methods below

You need to have the CSV file ready with contacts. If you want to transfer contacts from Yahoo or transfer contacts from Outlook or copy contacts from Yahoo, Hotmail, AOL or any email, you need to import the CSV file from the emails and have it ready for uploading it in Gmail.

Click Import on the top right corner of the content page

You will see the screen as seen below with import options

Click the choose File button and select the contact CSV file

Then click the Gmail contact group that you want all the contacts to be saved

Then click Import

All your contacts in the CSV file will be loaded within few seconds

Gmail offers a great search feature similar to Google search which is very easy to use.

If you are looking for an email received or sent on a specific date range follow the steps below.

In the Gmail search box type before:2008/11/01

This Gmail search will bring all the emails sent and received before 1st November 2008.

In the Gmail search box type After:2008/11/01

This Gmail search brings all the emails sent and received after 1st November 2008.

Note: You need to use yyyy/mm/dd format for inputting the date (year/month/date)

You can use this Gmail advanced search key along with other Gmail advanced search operators.

Eg:

After:2008/11/01 From:David � This Gmail Search will bring all the emails from David and are after 1st November 2008

You can do Gmail search for email sent to an address after or before specific date.

You can do Gmail search inside labels and folders and after or before a specific date and also more search like the above one.

If you are looking for emails that are CC to a specific person, you can follow the steps below.

Type CC:David

This search will bring all the email where David is in CC

If you Type BCC:David

This search will bring all the emails where David is in BCC

If your name is in BCC field, you cannot get those messages by this search, Gmail BCC search is only applicable to the emails that you have sent to.

But Gmail CC search is applicable to all the emails including yours.

You can use these Gmail advanced search operators along with other advanced search operators to find specific Gmail messages.

Gmail offers a great search feature that is similar to Google Search. It is very easy to use.

If you want to easily find all the unread or all the read emails or the emails that are starred follow the steps below.

Type is:starred for all the starred messages

is:unread for all the unread emails

is:read for all the read emails

You can use these keywords along with other keywords and you can search inside read or unread or starred messages.

If you are looking for an email from David and if you know it is inside a starred messages, type is:starred from:David this Gmail search will bring all the emails from David but only the starred messages.

You can use many advanced operator with this search like follows.

Label:David is:Starred � this finds all the emails in the label David and are starred.

is:starred label:David � this finds all the emails starred and with the label David.

To:David is:starred � this search finds all the emails sent to David and are Starred.

is:unread label:David � this search find all the emails in the Label David and are unread.

I can extend this list to many search type but you can do the search and see for yourself.

Gmail offers a great search feature similar to Google search. It is very easy to use.

If you are searching for emails that are only in Inbox and if you do not want to include the emails from your sent item or from spam folder or from any labels use the following method to do this search.

Type in:inbox

in:spam

in:sent mail

in:trash

This operators only searches inside a specific folders instead of all emails in your Gmail.

You can use advanced search operators like

From:

To:

And

Subject:

You need to use these operators next to the in:inbox or next to any folders that you want to search.

Gmail offers a great search feature similar to Google search, it is very easy.

If you are looking for any emails that contains Social Gathering, you can do the simple search by typing Social Gathering in the search box. But Gmail will bring the emails with the word social and gathering anywhere in the email this will be very broad search.

If you type the search with in the quotes as shown below you will get the results exactly matching Social Gathering.

Type �Social Gathering�

You can also do this search along with other keywords,

for example subject:�Social Gathering�

This will bring all the emails with the subject line Social Gathering

So the quotes around any phrases means the exact phrase without splitting them. Try this search and you will see the difference yourself.

You can also do this search by going into Gmail search options as shown below

You can also do this search for file types, If you know that you have a PDF and you do not know the name, you can type Filename:PDF

Gmail offers the search feature similar to Google search.

When you do the search, you can exclude unwanted messages by adding the hyphen as shown below.

If you are searching for any email with the word meeting but not the word November, type in the search box as meeting �November

You need to add the hyphen and the word that you don�t want to see in your search result and remember not to put the space after the hyphen.

You can do advanced searches using this operator. And also you can only eliminate 1 word off from your search, if you want to eliminate more than 1 word, Gmail does not search properly.

If you want to filter out more than 1 word do the search as shown below.

This Gmail search will bring all the emails with the word meeting and without the word November and December.

You can create UNLIMITED number of Gmail filters
But when you create a forward filter you cannot create more than 20 forward filters

What is forward filter?

When you create a filter that sets few emails to be forwarded to a specific ID, these filters are called forward filters and Gmail only allows 20 forward filters

What if you want to add more forward filters?

You can use the combining forward filter options

If you want to forward 2 different senders to a same email ID, you can combine them, the steps are given below

Login to Gmail
Click create new filter menu which appears next to search button on top

You will get the filter options as seen below
In the From field of the options, enter the sender�s email addresses that you want to forward to any address
For example, If you want blogpostdemo@gmail.com and blogpostdemo+test@gmail.com to be forwarded to another ID, enter� blogpostdemo@gmail.com and blogpostdemo+test@gmail.com in the from filed as shown below
You should enter the email addresses in a bracket or parenthesis () and you should mention OR between both the email addresses
(blogpostdemo@gmail.com OR blogpostdemo+test@gmail.com)

You can enter more than 2 email addresses in the From field
Click Next step
Choose the Forward button

Enter the email ID that you want to forward emails to
And Click Create Filter to create a new filter
So this way you can combine 2 or more filters into 1
This is applicable to all the fields, you can mention OR and create filters to combine two filters

On right side of every filter you will see a Edit and Delete link

If you click Delete, Gmail deletes the filter and Gmail will not ask for a confirmation
Once the filter is deleted Gmail shows the deleted confirmation as seen below

Remember, when you delete any filters, Gmail will not ask for the confirmation

When you click that you will get all attachment in a zipped format
If you want to download each attachment separately, click Download next to every attachment
This will only download the specific attachment

Apart from downloading you can view all Gmail attachments without downloading

You can view only the following attachments
.pdf, .doc, .xls, .ppt, .rtf, .sxw, .sxc, .sxi, .sdw, .sdc, .sdd, and .wml
This means that your attachment will be converted into HTML and the HTML attachment will open in a new browser
So you cannot view the zip file as HTML

This saves lot of time downloading and organizing your files

When you receive an attachment in Microsoft Excel (xls) format or Comma separated value (CSV) format, you can view those documents with Google spreadsheet and make any changes that you want to.

When you receive an Gmail attachment with Microsoft Document (Doc) format, you can view those documents with Google Documents. You can edit the changes that you want to.

Gmail will store this document in your Gmail account under Google document or Google spreadsheet.

You can also choose from the Inbox view and set the filter

Open your Inbox

Choose the message that you want to delete automatically

Then click more action

Using Gmail you can find if a message is sent to you only or to a group of people.

To say this more clearly, if a message is sent to you and your address is the only address in the �To� field. There might be other people included in the same email but in CC or BCC field.

Gmail offers a feature� called Personal Level Indicator. You need to enable this feature by following the methods below.

Login to you Gmail account
On top right corner you will see the �Settings� link and click
This will open a General tab with loaded option
Middle of the this page just below the Signature option you will find the Personal Level Indicator option
Choose Show indicators as shown below
Now save the changes that you made at the bottom

If you see a double arrow >> this means that the message is sent to you and also to many others

Gmail offers chat feature inside your mail window.

If you see your contacts online, and if you want to chat online you can use Gmail chat option displaying on the left side of the screen.

This feature helps you save the message and the chat conversation in a same group, so you don’t need to search for the message related to your chat or related to email.

Click the link �Reply by Chat to ��

You will see the chat window pop-up opening at the bottom of your screen

It is because you have not set the Time zone in your personal settings in Gmail.

You can do this by simple following methods

Go to https://www.google.com/accounts/ManageAccount?service=mail

Click the edit button next to Personal Information

You will get a page where you can edit your Gmail name address and Time zone etc�

Click �Display all timezones�

Click the Time zone drop down and choose the Time zone you want in your Gmail messages

And do not forget to save the changes

If you are a new user to Gmail, you may be confused with this feature that Google offers.

What is conversation view?

When you send an email from your Gmail, and if you get a reply to your message with the same subject line, both the messages are arranged in single email view as seen below

You will see the Message sender and the replier and the number of messages

Whoever started the conversation, will appear first and the last replier will appear next

When you click the message, you will get the� message view as seen below

You will see the Subject on top in Bold letters, next the old messages as hidden and the new messages are the open readable and open now

You can view the Old message by clicking on the Old message subject

There is also an option of Expand or Collapse all the messages as seen below

When the messages are displayed together, click �Expand all�

When all the messages are displayed, click �Collapse all�

You can also click �Forward all� to forward all the message in the current conversation to any email address

Gmail conversations are best but it is still facing some issues, like not related messages are in the conversation. Gmail basically uses the subject line to arrange the conversation, so if any one sends you a message with the same subject line it is organized in the same conversation.

Gmail Tips and Tricks – How to Spell Check Gmail Content

Gmail offers fantastic spell check options, it is real time and not like any other email services.

When composing a new message in Gmail, you will see Check Spelling link on right side header of the compose box.

Just click on the �Check Spelling� link and you will see the errors highlighted in yellow color. Click on the highlighted text.

Gmail will open a drop down with the spelling suggestions, Choose the appropriate spelling for your text.

Here is a simple demo of how to spell check your Gmail content

Gmail also offers spell check in many other languages, to select the languages click on the small arrow next to the check spelling link.

Once you finish checking the spelling just click Done next to the Check Spelling link.

It may seem difficult for you to send links when composing new message in Gmail.

But Gmail automatically recognizes your web links and adds the hyperlink to the correct webpage.

For example if I want to like Blog.consultmirror.com I just need to type the website name in the content box as seen below in the image

When I send this message Gmail will change all the website addresses to hyperlinks as seen below

You can also link any words to any websites when composing

Choose the words that you want to link to any websites and click the hyperlink button on the compose toolbar

You will see a small pop-up window opening like below

Choose if you want to link the website or email address to your content

Enter the website address in the box as shown above, same way enter the email address in the box

Click Ok

Gmail confirms the website link inside your compose box as seen below

You can close this by clicking the X mark, and continue with your message

So this feature is not available in any other email programs. Gmail is faster.

What is default email client or email handler?

When you click on any email address, normally Outlook express opens or Outlook opens, you can simply type the content and send it.

Instead of using outlook express or Outlook or Thunderbird you can have Gmail handle all the emails for you.

To do this you need to install Gmail notifier which can be downloaded here

You can read my previous post which talks about Gmail Notifier and its functions

Right click on the trey icon and click options

You will get a menu as seen below

Click the check box (Use Gmail for internet Mailto: links) to select Gmail as a default email handler for all your email links.

Gmail (Google Mail) offers a small piece of software to notify you that you have a new email. This works great.

You do not need to go to your inbox or open your Gmail Tab to check for a new email.

Install Gmail Notifier and get the notification as seen below.

If a new email comes you will see a notification in your system trey which is at the right bottom of your windows PC.
The blue color mail icon indicates that Gmail notifier is running
Right click on the gmail notifier to get the below seen options

When you click �View Inbox� Notifier will open the Gmail inbox in your default browser
You can click �Check mail now� to check any new emails, but you don�t need to do it since Gmail notifier automatically checks for new emails
If you want to know the recent notification just click �Tell me Again�, this will show the latest notification again.
If you want to set up your default browser for checking Gmail, you can click �Options� This will open a small window as seen below
You can choose the default browser for viewing Gmail inbox

Click on the check box if you want to use Gmail as default email handler when you click on any email links
You can choose the browser you want and click OK to save the options
During the installation Gmail notifier will ask for the user name and password

The disadvantage is, you can only have only one gmail account configured with the Gmail notifier, so this will not be useful when you want multiple email notification

What is the maximum email size in Gmail?

Gmail maximum email size is 20MB (Megabytes)

This includes attachment also. Though they say 20MB you cannot attach a file exactly for 20MB. All the email providers encrypt the files attached with your email, so it will take another 1 MB or so.

So the real attachment size would anywhere around 18 to 19 MB

Yahoo only allows to attach 10MB

When composing any email, we may get distracted and want to send the email later. You do not need to lose the draft message, you can save it in Gmail.

And Gmail also offers a great feature of saving your draft or the message that you are currently composing, every few minutes. So you will not lose any information and Gmail also saves the attachments if any.

To get the message back, click on the Drafts folder link on the left side

Below screenshot explains how it looks like before and after saving.

With in few minutes or sometimes less than a minute, Gmail auto saves the draft. You will see a notification as shown below

You can also save the draft manually by clicking on the Save Now button

Sometimes you will find your Gmail (Google mail) account locked and you will not be able to access it. This happens due to many issues.

Google or Gmail is a machine basically, it uses some algorithm to find out if you are a spammer. Spammers usually access Gmail using many software and they send emails to unknown address. So Google set a system where these things are blocked automatically.

1. If you are sending Bulk emails to your friends.

You may want to announce some message to your friends or to all your contacts
When you send an email more than 100 recipients, Gmail blocks your account
When you send emails to a lot of undeliverable addresses, Gmail blocks your account

2. If you are logged into several computers or several browsers with the same ID

You may have forgotten to sign out from other browsers or other computers

3. Using some software to automatically access your Gmail account

4. Bulk downloading of emails using POP or IMAP client

Above all, I would say Gmail blocks or locks the account if you send too many emails within couple of hours. Your account will be locked maximum for 24 hours.

Gmail offer this feature

Gmail only offers plain signature not any Rich text or HTML or any Graphics format. You can use add-on in your browser to add the HTML signature in Gmail.

To set up Gmail Signature

Login to Gmail
Click on Settings that appear on right top corner of the page
You will be under General Tab
And you will also get an option for Signature like seen below

Start entering your Gmail Signature text
And click Save Changes at the bottom of this page
Now go to your Compose Box
You will see your Signature as seen below

Your Gmail signature is separated with 2 dashes
If you do not want to send your Gmail signature, Just delete it in your compose box
You can also permanently delete it in Settings option
When people receive your email they will see your Gmail signature at the bottom of the message as seen below

Gmail signature has lot of disadvantages when compared with desktop email clients
You can not add a HTML signature
You cannot control where the Gmail signature has to display when sending replies
Gmail team is working on many signature feature which I will update you all.

Gmail.com and Googlemail.com are the same

My sample email address is blogpostdemo@gmail.com and also blogpostdemo@googlemail.com So you can send emails to my both addresses and its all the same

If you are a Gmail (Google Mail) user and if you want to add another email address to receive emails, you can follow the steps below to set the �Reply to� address.

When you do this Gmail will also ask you for a verification.

What is reply to address?

When someone replies to your email they do not normally type in the address, instead they just click the Reply button and the mail client will automatically load the reply to address. Sometimes you may want to receive emails in a different address than the one you send. In that case you can set a different �reply to� address.

Log in to Gmail
Click on the �Settings� button appearing on top right corner
Then click Accounts Tab

You will see a list of options
Right side of your email Address you will see �Edit info� option

Click Edit Info
You will get a pop-up menu with more options like below. Sometimes you may not get the Pop-up because of pop up blockers, if so enable pop-up blocker for Gmail.

Here enter the �Reply To� name that you want to use
Click on the �Specify a different Reply-to address�

And click Save Changes
Once you Save the pop-up window will close automatically and you will see the Reply-To address as below

You can also do this by adding new email addresses. I have another post explaining that.

Gmail Tips and Tricks – Delete Gmail Account or delete Gmail user ID

Not all the email service provider offers this feature but Gmail or Google mail offer this feature, if you do not want to keep the email ID.

Remember: You cannot get the ID back, all the messages will be deleted permanently. You may have to create a new ID if you want.

If you have decided not to keep your Gmail ID and want to delete it do the following

Go to Settings which appears on top of the page
Click Accounts Tab
Click �Google accounts settings�

You will have a new page opened
At the right side of the page you will see the content as below

Click the Edit button next to My products
This will again open a page as seen below

Here choose the option you want
You can only delete the Web History
Web History is a feature offered by Google to save all the searches you do under your Gmail ID
Choose Delete Gmail Services, if you do not want to keep the Gmail services or Gmail ID
You can also close the account by clicking Close the account and delete all the services and info associated with it

Remember it is highly impossible to get your ID back if you close your account

Labs feature are under test mode
It may work or it may not work

Gmail communicates with you officially for many reasons.

Gmail uses your alternate ID for the following reasons

Confirming your Gmail user name after you create one
If you are not able to login to your Gmail account
If you have forgotten your password and want to retrieve it
If your Gmail storage space is full
And other Gmail issues related to your account

So it is advisable to have an alternate ID to get these notification

You can change the alternate ID by doing the following

Go to settings
Under settings page you will the below menu, click accounts

You will see list of options
Click on �Google account Settings� as shown below

This will open a new screen or window with more options as seen below

This appears at the left side of the screen
Click �Change Security Question� (You are not going to change the security question)
You will see the options for changing the security question and also to enter your alternate email ID

Enter your new alternate ID and click Save to save the changes

Yes, now you will see that you have changed your alternate ID and you will get notification in case of any issue with your Gmail account.

You may have several email IDs and you may have 2 or 3 Gmail IDs. But you may not be able to login to gmail with 2 addresses simultaneously. This is because Gmail program or any other online application with login module does not allow 2 user login at the same time.

I have 5 Yahoo IDs, 2 Hotmail, and several Gmail IDs.

I found a way to login at least 2 Gmail IDs at the same time by using 2 browsers. Use IE if you have and login with 1 Gmail ID. Use firefox and Login with another ID. You can also use Chrome and login with another ID.

So this is the only way that you can use 2 or more Gmail ids at once.

Most of the people today do not want to enter the user name and password every time they check their email. So most of the email service provider offer this feature of “Remember Me on this computer”

When you sign in to Gmail, you will see a small check box below the sign-in box. Just click that box and sign in.

So when you want to access your Gmail next time, just go to Gmail.com and you will automatically be logged in.

Note: If you delete your cookies, you may not be logged in automatically. If your computer does not remember you, you should check the cookies settings.

How to Create, Edit, Rename or delete Labels in Gmail?

Gmail offers this wonderful feature called labels to organize the emails. I have already posted about changing label colors. Follow these steps to Edit the labels.

Log in to Gmail
Top right corner of the page you will see the settings button, Click “Settings”
You will get a page with all the settings information
Click the “Label” Tab
You will see all the available labels
If you want to rename any Labels, on the right side you will see a link called “Rename”
Click the “Rename” link, you will see a pop up asking for the new name
Enter the new name and change the label name
If you want to delete any labels that you do not want, Click “Remove” link at the right side of the each Label
It will ask for a confirmation to delete (You cannot get the labels back)
If you click OK the label will be deleted
Remember, if you delete a label, the emails assigned with the labels will not be deleted. But if you delete the label by mistake you cannot assign the label back to the same emails
If you want to create a new label
Enter the new label name into the “Create a new Label” Box and click “Create”

How to add, delete and organize Gmail contacts? What are the Tips and Tricks?

Gmail has a special feature of automatically adding the email addresses of the people whom you send emails frequently. Even if you send an email to anybody once, Gmail stores that email ID and when you type the email Id in the address box, it will suggest you, if you want to choose the contact that you have emailed already.

There are more people today who never save any contacts to their address book or contacts list.

If you save the email addresses, it will be very easy to organize the email addresses and this will help you save a lot of time when sending emails.

When you click on the Contacts button just below the Folders list, you will see a page like below

This is the page where you can manage your contacts

The above image explains the first step of organizing your contacts
If you want to add a contact in Gmail, click the “add contact” button
You can create many groups for easy emailing by just clicking on the “add group” button
You can move contacts from 1 group to another
Suggested contacts are the email addresses saved automatically by Gmail and when you click the view suggestion, it will display the list of contact that can be added to the contacts list

How to add a contact?

When you click add contact button, you will get a page as below to enter the contact’s details

You can add the contact person’s Name, email, Phone, Address, Instant Messenger ID and more…
Gmail does not limit you to add one email ID per person, you can add more email IDs to 1 contact like home email ID, office email ID, etc…. and you can add more than 1 address, 1 phone number and 1 instant messenger Id to one contact.
If you want to organize your contacts into many groups, you can create groups of your preference
Click on the Add Group button
You will get a prompt as seen below

Enter the name of the group you want to create and click OK. You can edit the group name later
If you have never used the contact page, but if you have been sending emails to your friends then you will get a suggested list of email addresses that you have sent an email to
Click “Suggested Contacts” on the left to display the suggested email addresses

Choose the email addresses that you want to save and organize
Then click “Move to My Contacts”
You will see all the email Ids that you have selected have been moved to “My Contacts” and saved
If you want the email Id’s to be saved under specific group, click or select the email address in the 2nd column to get the page like below

Select the group that you want to move your contacts or email addresses to
You can also edit any email address by simply clicking on the email address and on the right side column click on the edit button
You can also do a bulk import of all contacts from Outlook, Yahoo or Hotmail. You need to export the contacts from the email clients first.
Then choose the import button and add the contacts in Gmail

To delete any contacts or groups, click on the top right corner of the contacts page which says “Delete Contact” or “Delete Group”

These are the simplest method to manage any contacts in Gmail. This is very powerful than any other email service providers

How to set Gmail Filters?

Email filters are used to organize the emails for easy access and for later use. You can organize your email inbox in such a way that, you will never miss any important email.

Please read this post carefully, and you can really do a lot of thing using filters in Gmail. In fact this is one of the important features why most of the people love Gmail.

So this is the page where you can enter the filter criteria.
If you want to Filter incoming emails based on from address, enter the address of the person who is going to send you the email. You can enter his name or the email address, I suggest you to use the email address rather than name, because there are several similar names which will confuse you later
If you want to set a filter based on to whom it was sent, you can enter that. Note: You may think, I only have 1 email address and all the emails are sent to that address so how am I going to enter my email Id to filter. I have one more post in this website which talks about multiple email address in your same ID something like blogpostdemo+test@gmail.com instead of blogpostdemo@gmail.com. These types of address are used to create filters to organize the inbox
If you know the subject of the message, you can enter a word or few words of the subject to filter the emails
If you want to filter all the emails with a word anywhere in subject or sender or receiver or body of the content, enter it in “Has the word” field
If you are looking for an email without a word enter the word in “Doesn’t have”
If you want to filter the attachments separately, check the “Has attachment” option

So enter the search or filter criteria and click “Next step”

Here you have many options to select
Once you click the “Next Step” you will get the above seen screen and Gmail also searches and bring the result at the bottom of the filter option

If you want the Filtered emails to skip the inbox and “archive it” choose the option “Skip the Inbox” remember, you will not find this in your inbox at all. If you choose this option , I advice you to set a Label so you can go back there and see if there is any important message.
If you want the filtered Emails to be automatically marked as read, choose the option “Mark as Read”
If you want the filtered Emails to be automatically starred, choose the option “Star it”
If you want to organize the filtered email by labelling them, choose the option “Apply the Label” and click the drop down as seen below

If you want to create a New Label click the “New Label” and you will get the pop up as below

Enter the Label Name and Click OK. You can edit the label names later, if you want to rename the label
Once you create a new label you will see a confirmation as below

If you want any emails to be forwarded to a different email address, you can enter the email address in the “Forward it to” field. This is very useful if you are using more than 1 email ID and if you want to access the emails from different ID. There is also option of setting Gmail Mail fetching. I have posted that in this website, read it if you want to organize all your emails in 1 Inbox. Remember, You cannot forward an old email that is already in your inbox using the filter option. This option is applicable only to new emails
Once you finish choosing these options for your filter, Click create Filter and set the filter of your preference.
You will also have an option for assigning the filter to the existing emails in your inbox by click the “Also apply this setting to XX conversation below”
Is you go to your inbox, you will see the difference based on the filter criteria you have choosen

I recently found this feature and it is very great one to organize your inbox

I have created a new Gmail or Google account for demo purpose

If you know how the filtering works, you can really play with this method
Sometimes we may want to have more than 1 ID to sort the emails that we recieve from various sources. You may want to give your family members a different ID and for your friends different ID.
The reason we do this is because we do not want to miss any important emails.
You can use “(+) plus” feature in Gmail
if you want to organize your friends email, you can give your friends blogpostdemo+friends@gmail.com, instead of giving the real email ID, you can add a plus sign and any other word next to the plus sign.
This will be delivered to your email ID.
Using filter option you can filter all the mails coming to “blogpostdemo+friends@gmail.com” to a separate label skipping the inbox
Instead of friends you can use any other name like family, business, school, test, exams, travel, newsletter and etc…
When you sign up for online newsletter or for any other subscription use these type of email addresses to automatically filter the incoming emails.

Add Emotions in Gmail

You can add emotions when sending emails from Gmail like instant messaging

This is very simple Gmail offers 2 types of smiley, one is round shape as normal another one is in square format which is new the internet world

Click compose inside your Gmail

And you will see the new message compose box and click on the Emotion icon

You will get the display as below

Choose which one you want just by clicking on the icom

To switch between round and square, at the bottom of the emotions box you will see rounded and squared icons. Click on that to choose the one you want.

This post explains how the layout of Gmail looks and description about each fields

General Navigation to other Gmail Services

You can use 1 Gmail ID to browse all the Google services
Inside Gmail you will find links to other services like Calender, Documents, Photos, Reader, Web and More
Under more, you have Youtube, Images, Sites, Maps, News, Shopping, Video, Groups, Books, Scholar, Finance, Blogs and even more…
The best part of this navigation link is, when you access something very often from your account that will come on top from the more menu. For example, if you are accessing Books very often, the Books menu will appear as a button instead of hiding under more menu

Your Email ID, Settings, Help, Version, Signout

You will see your email Id in Black color
Next to that you have settings button to set your preference and account settings like changing password
Help menu will guide you in every step with FAQs, sometimes it is helpful , some times it is not
Many people never knew how to sign out of Google services. It is the corner button on Right TOP
If you have slower internet connection, you can choose the older version to load the pages faster

Search Email or the Web

If you have thousands of emails and is you want to find the message, just type the term that you remember about that email, anything like name of the sender, email id, subject or content
You can also refine your search by doing the advanced search
If you want to get some information from the web, you can search the web from your Gmail
You cannot search inside an attached document like Yahoo email

Filters

Filters are one of the reasons why Gmail beats most of the other free email providers
You can set the filter based on many parameters
There are still more feature needed, if you ask me
You can set filters based on the sender and you can send the email directly to a folder or assign a label
You can forward certain emails to anyone using filters
I have not seen any limitation with number of filters
Filters works best in Gmail

Compose new Email

Create new email with Gmail by clicking on the “Compose” button
It is very easy to create a new email with Gmail
The compose box looks like below

You just need to type the recipient email ID and type the content and click the send button
This is one of other best interface you can get in Gmail than any other free email services
You can compose a message and save it for sending it later
The saved messages will be in Drafts folder
The message is auto saved during certain intervals

Select Messages

You can select messages using the types
Click All to select all the message
Click “None” to unselect anything that is selected previously
Click Unread to select only the unread messages in the page
Click Starred to select only the Starred message in the page
Click Unstarred to select only the unstarred message in the page
Remember all these are applicable only to the current page
If you want to select all the pages, you will have to do a advanced search
There is one more method of searching the messages type
Type “is:unread” in the search box to find out unread messages
Type is:Starred in the search box to find out starred messages
Type is:read in the search box to find all the read messages

More actions

This drop down menu helps you to do more things that are not visible
This icon is displayed out side and also inside the message window

Gmail More actions option

These is the complete list of the “more action” menu
Select any message and click on the “More action” and select which actio you want Gmail to do
You can mark any messages as Read
You can mark any meaages as Unread
you can Add a star to any message
You can Remove Star
You can create Event in Google calander
Filter any messages by choosing “Filter Messages Like these” (you will get filter option)
Create a new Label
Mark Infected item
Mark as Junk or spam email

If you have more emails, you may not find all the messages in 1 page
To go to the next page click Older button
If you want to go to the last page, click Oldest
Once you are in the next page you will see “New” and “Newest” button
Click “New” to go to the previous page
Click “Newest” to go to the 1st page

Default Folders

Gmail comes with set of default folders that cannot be altered by anyone
There is no other way to create a folder for yourself
You can set the labels and treat the labels as a folder, it is pretty much the same
“Inbox” holds all the new emails that comes to you email ID
“Starred” holds all the messages that you have marked with star
“Chats” holds all the chat history from you ID
“Sent mail” holds all the sent mail from your ID
“Drafts” holds all the drafts saved by you, when you send the message, it will not be there in “Drafts” any more
“All mail” holds all email including draft and sent item
“Spam” holds all the junk email or crap email that you have set as spam
“Trash” holds all the emails that was deleted earlier
“Archive” this button appears on top of all the message, you can use this to retrieve the old message

Contacts

Click on the “Contacts” button to browse and edit and delete the contacts that you have

Labels

Labels acts as a folder also
Labels are to classify the messages according to your will you can create any number of labels
You can also color your label from this menu
You can delete the Labels
You can click on any label to filter the messages with the label you clicked
Labels are one of the best options Gmail have over the other providers

Chat Window

Gmail offers a feature where you can chat from Gmail
You do not need to install any software
Just Login to Gmail and start using this
This window displays the contacts that you have and their online status, you can select the contact and start chatting
All the chat history will be saved in the “Chat” folder
You can set your online status also

List of messages

Gmail separates read and unread messages by color
Unread messages subject lines are Bold and white back ground
Read messages subject lines are normal with light bluish back ground
When you click on the left side of the subject line where there is an empty star mark, it will turn in to golden Star mark and this message is known as starred message

So this is just the overview of Gmail, thee is more to Gmail than this.
